Flowserve Procurement Checklist: 7 Things to Check Before Ordering Pumps, Valves, and Seals

If you're responsible for ordering Flowserve pumps, valves, mechanical seals, actuators, or replacement parts, this checklist is for you. I've been managing procurement for an 80-person industrial services company since 2020. I process 60 to 80 equipment orders a year, spend roughly $350,000 across 12 vendors, and report to both operations and finance.

I'm not a pump engineer. I'm the person who gets blamed when the wrong part arrives.

The 7-point checklist

1. Get the nameplate, not the memory

4. Verify the service location and address

6. Check aftermarket support before you install

Prevention beats emergency service. Ask: What is the warranty period? Does the local service center repair this line? Are repair kits available? If the answer is "we don't know," that is a warning, not a neutral response.

Flowserve's aftermarket service network is one of their biggest strengths, but it only helps if the local coverage matches your location. If a rep doesn't return a call before you buy, they won't magically answer during an outage.

Another thing I almost missed: warranty coverage can start at the ship date, not the installation date. We once installed a pump six weeks after delivery and lost part of the warranty window. Now I ask for the warranty trigger in writing.

7. Set up an invoice and paperwork check

In 2022, a vendor couldn't provide a proper invoice—handwritten receipt only. Finance rejected the expense. I ate $2,400 out of the department budget. Now I verify invoicing capability before placing any order.

Make sure your purchase order includes the part number, description, requested ship date, delivery terms, warranty, and required invoice format. If the vendor uses a portal, print or export a copy of the final order before they close the submission.

Common mistakes I've made so you don't have to
