Rush-Ordering a Flowserve Pump? Use This 7-Step Checklist

In my role coordinating emergency pump replacements for refineries and chemical plants, I have handled somewhere north of 300 rush orders over the last twelve years—maybe 320, I would need to check the spreadsheet. The pattern is so consistent that I built a checklist around it. This is that checklist.

Use it when a Flowserve pump is down, when a project deadline is closing, or when the spec says Flowserve MK3 Std and you do not have an engineer standing next to you. It is not a substitute for a certified datasheet, and it will not magically make a 10-day lead time disappear. What it will do is prevent the more expensive problem: a fast order for the wrong pump.

Where This Checklist Fits

This works best when you already know that you are buying a Flowserve pump, but you are not sure which setup matters most. You might be looking at a Flowserve TPS twin screw pump catalog for the first time. Or you might be trying to replace a Mark 3 process pump and wondering what the “Std” really includes.

Here is the thing: rush orders do not usually fail because the supplier moves too slowly. They fail because the order was wrong before the supplier ever picked it up. A missing serial number, an unverified seal flush plan, or a vague material callout can turn a 48-hour delivery into a 6-week correction.

The 7-Step Checklist

1. Confirm the Pump Family Before You Chase a Part Number

First, make sure you are comparing the right technology. A Flowserve TPS twin screw pump is built for viscous, shear-sensitive fluids such as crude oil, fuel oil, and certain process applications. A Flowserve MK3 Std pump is a different animal—normally an ANSI/ASME-style end suction centrifugal process pump. They are not interchangeable, and they are selected using different logic.

Why does this matter? Because I have seen buyers search a part number, find a match, and then order it without realizing the pump is a positive displacement unit while their system was designed around centrifugal performance.

If you are opening the Flowserve TPS twin screw pump catalog, do not start with the biggest model or the highest flow rating. Start with the operating conditions and work forward. If your drawing says MK3 Std, do not assume that it has the same wet end as every other MK3 in your plant. Confirm the size, group, and hydraulics against the curve.

2. Write Down the Process Conditions Before You Ask for a Quote

The supplier needs more than a model name. I know it feels faster to send a photo and say, “I need this pump,” but the fastest path is a short data sheet with the following:

  • Fluid name and composition
  • Specific gravity and viscosity at pumping temperature
  • Suction pressure and discharge pressure
  • Flow rate and temperature range
  • Available NPSH, if it is a centrifugal pump
  • Any solids, vapor pressure, or shear-sensitivity notes

When I am triaging a rush order, I ask for those numbers first. Without them, every proposal is a guess. A good pump can cavitate, overheat, or lose prime quickly if the vapor pressure data is missing. The person you call cannot see your process. Give them what they need to make the right call.

3. Pull the Serial Number and Data Tag First

This is the easiest step and the one most people skip.

If you are replacing an existing Flowserve MK3 Std pump, the model name is not enough. The serial number matters more. Flowserve can use that serial number to trace the original build: impeller trim, casing material, gasket type, bearing housing orientation, flange rating, and even the mechanical seal arrangement that shipped with the pump.

People assume that because the model number matches, the whole pump will match. In reality, two MK3 pumps can look identical from the outside and have different metallurgy or different impeller details inside. The serial number is the fastest boundary marker. Take a photo of the nameplate and send it to the supplier. That one photo can eliminate a long list of wrong assumptions.

4. Use the Current Catalog, Not Your Memory of an Old One

What was best practice in 2020 may not apply in 2025. Product families get updated. Materials get improved. Dimensional data changes. If you are using a printed catalog from 2018, you might be pricing a pump that is no longer the same configuration.

I keep two sources in front of me when I am moving fast:

First, the current Flowserve TPS twin screw pump catalog when I am checking twin screw pump ratings, speed limits, and configuration options. Second, the current MK3 Std data sheets when I need to confirm hydraulics, connection sizes, and baseplate options.

The fundamentals have not changed—you still need to match the pump to the duty. But the execution has transformed. Digital catalogs give you faster access to better data. Use that to your advantage, but verify that the version you are reading is the current one.

5. Verify Wetted Materials and Elastomers Against the Fluid

Do not accept a vague material description like “stainless steel” on a purchase order. The difference between 316 stainless steel and an alloy with higher chloride resistance can be the difference between a long service life and a failure after three weeks.

Ask for the casing material, impeller material, shaft material, and elastomer type. Elastomers are often the quiet killer. A pump with the right metallurgy can still fail because an O-ring was selected for a different chemical service.

This step feels like a slowdown when you are in a hurry. It is not. It is the fastest check you can run before money moves.

6. Spell Out the Seal System and Flush Plan

The mechanical seal is part of the pump system, not a separate accessory you can ignore. If you are buying a process pump for refinery or chemical duty, you need to know which seal standard applies and which flush plan is required.

API 682 is commonly referenced for refinery-style mechanical seals. A pump can ship quickly with the wrong flush plan and then be unusable because the seal overheats or the flushed fluid goes to the wrong port. I have seen that exact mistake kill an “emergency” order.

Before you confirm the purchase, ask for the seal code and flush plan in writing. If you do not know what it should be, say so. A good supplier will ask three questions and help you narrow it down. But you need to make sure the final order includes a clear seal specification.

7. Assign One Owner and Demand a Written Confirmation

Finally, make sure the order has a named person who is accountable for it. “The account manager” is not an owner. Ask directly: “Who should I contact if the pump is not ready on the date you quoted?”

Then get the confirmation in writing. The confirmation should include the model number, size, materials, elastomers, seal code, lead time, and delivery terms. If the confirmation is vague, the pump order is not finished yet.

I have tested this approach on many different rush scenarios. When I have an explicit confirmation, I also have an earlier warning when something changes. When I rely on a phone call and a good-natured “we will look after it,” I leave the window open for a misunderstanding.

Two Mistakes That Will Still Sink You

From the outside, a rush order looks like a vendor problem: they need to work faster. The reality is that a rush order is a different workflow. It involves separate inventory, expedited engineering checks, and tight freight booking. If you keep changing the specification, the workflow collapses.

People think rush orders are expensive because the work is harder. The truth is they are expensive because they interrupt planned production and shift uncertainty onto the supplier. You reduce the cost by reducing the uncertainty. Clear specs, confirmed materials, and a written confirmation all help.

The other mistake is treating your first quote as a final decision. A fast quote is useful, but it is not the same as an accurate quote. I usually ask one more question when a quote feels surprisingly fast: “Are you confirming this from stock or from a standard build?” There is a difference, and the answer affects delivery.

Final Note

This was accurate as of early 2025. Flowserve product lines, catalogs, and standard options can change, so verify everything against the current published documentation before you issue the purchase order.

My experience is built mostly around refining and chemical plant work. If you are in a different duty—slurry handling, marine loading, or food processing—your requirements may differ. The skeleton of the checklist still works, but the details will change.

The fundamentals of pump selection have not changed: know your fluid, know your pressure profile, and know your seal system. The execution has changed—the data is faster to find, the catalogs are more detailed, and the expectation for quick response is higher. Use both. Move fast, but do not move blind.
